National Mediation Conference (NMC)

Darwin-based AA&P Events is responsible for creating and delivering events, experiences, and exhibitions across Northern Australia, including both virtual and hybrid programs. The AA&P-hosted, biannual National Mediation Conference (NMC) staged in September 2021 centered on sharing knowledge and resources amongst professionals in the dispute resolution sector. The theme of NMC 2021 was ‘One Story,’ focusing on celebrating the contributions of Indigenous communities and First Nations Peoples to the industry, particularly their approaches to conflict and its management.

The Challenge

With many parts of the country in lockdown and state borders closed, the need to pivot from a hybrid to a fully virtual event in a one-month time frame was one of the biggest challenges faced by AA&P.

“The main objective of the conference was to create a fully immersive and cultural experience for conference delegates that was more than just a big zoom meeting, but an unmissable online experience to learn about Indigenous approaches to conflict and management,” said AA&P Event Manager, Rosie Fall.

Conference Set Up

AA&P Office Administrator, Sita Carolina, said being able to properly showcase the destination and the cultural elements of the program to the 330 attendees was a high priority.

“Enabling 3D Mode on the EventsAIR platform gave us the opportunity to make people feel like they were at the conference,” said Ms. Carolina.

“We organized pictures to be taken around the conference venue in Alice Springs and implemented these onto the platform. The 3D Mode also enabled us to include clickable buttons for people to explore Alice Springs including virtual tours of the conference venue,” said Ms. Carolina.

Agenda and Session Management

With such a large program – four days and eight concurrent streams – Ms. Fall said the risk of screen fatigue drove a move to shorter, pre-recorded presentations (81 in total) with speakers able to connect with delegates via live Discussion Forums during their session broadcast.

“My favorite feature would be the ability to deliver the sessions and functions in different ways, for example the synchronized videos or live sessions using AIRCast, and also having everything available on demand after,” said Ms. Fall.

Networking Opportunities Were Critical

Despite the loss of face-to-face engagement with the move to virtual, the client was very eager to have key networking opportunities afforded to its delegates, said Events & Marketing Assistant, Chloe Simon.

“The way that we were able to do this was through some Breakout Rooms that we had each day through the lunch breaks, before events and after the conference as well. We also encouraged delegates to use the Meeting Hub to connect,” said Ms. Simon.

Ms. Simon said the Event Stream feature gave delegates a full overview of the whole conference and promoted opportunities for social engagement.

“We had a lot of people sharing photos from where they were in the country, their conference bags they had received… It was a really good way for them to connect on a more personal level,” said Ms. Simon.

Exceptional Customer Support

Ms. Simon said through the planning, pivoting and delivery stages of the NMC event, the EventsAIR team was hugely supportive and responsive, helping AA&P manage what were sometimes very stressful situations.

“The experience we had with the EventsAIR team was really, really amazing. We really appreciate everything the EventsAIR team did for us behind the scenes,” said Ms. Simon.

“That was probably my favourite part about it, the flexibility. It felt like we were all in this together,” said Ms. Simon.


Improved Outcomes

Feedback from delegates was overwhelmingly positive with attendees reporting to have found the technology easy to use and effective, with the OnDemand session playback feature considered to be extremely valuable.

The OnAIR 3D Mode also rated as a hugely beneficial feature of the platform.

“The 3D platform, visuals and clickable buttons all created a whole scene that some have said they could almost touch and smell,” said Ms. Carolina.
